Spatial Video for Events: A Promoter's Production Checklist
Spatial video for events can preserve parts of a room that a conventional edit leaves outside the frame. It can also multiply a production's complexity. The format, camera position, audio workflow, performer permissions, audience notices, post-production path, target device, and distribution plan all affect whether the finished recording is useful.
That makes the first question less exciting than choosing a camera, but more important: what should the audience be able to experience when the project is finished?
This checklist helps promoters, venue teams, and production partners answer that question before doors open. It does not assume a particular camera, platform, business model, or VPORT feature.
1. Define "Spatial Video" Before You Scope the Shoot
Teams often use spatial video, stereoscopic video, VR180, and 360 video as if they describe the same deliverable. They do not.
Apple describes spatial video recorded on supported iPhone models as stereoscopic MV-HEVC video with separate views for each eye. Apple also documents iPhone spatial capture at 1920 x 1080 and 30 frames per second in SDR. A spherical 360 video, by contrast, is stitched so the viewer can turn around inside a full field of view. YouTube treats 180- and 360-degree video as distinct upload formats and requires the file and metadata to be prepared for spherical playback.
Before requesting quotes, write down:
- the target viewing devices and applications;
- whether the deliverable is stereoscopic, VR180, 360, or a conventional companion edit;
- whether viewers should look around freely or watch a framed stereo view;
- the expected running time and whether the full performance or selected songs will be included;
- the audio deliverables, such as stereo, surround, or ambisonic audio;
- who will master, host, archive, and quality-check the files.
This one-page format brief keeps the production team from discovering after the event that the capture and distribution requirements do not match.
2. Clear Recording and Distribution Rights First
A venue booking does not automatically grant every right needed to record and distribute a performance.
In the United States, 17 U.S.C. Section 1101 addresses unauthorized fixation and transmission of live musical performances without performer consent. A real project may also involve agreements covering compositions, sound recordings, guest performers, visual works, trademarks, audience appearances, venue rules, and territory or time limits.
Turn those issues into a written clearance matrix:

3. Choose Camera Positions for Safety and Story
An immersive camera does not create a good viewpoint by itself. Its position determines what the audience can see, how close people appear, whether seams cross important subjects, and whether the equipment interferes with guests or crew.
Walk the venue with production, security, lighting, and accessibility leads. For each proposed position, check:
- protected cable paths and a secure footprint;
- emergency routes, accessible routes, and audience sightlines;
- distance from moving lights, lasers, haze output, speakers, and pyrotechnics;
- the likely movement of performers, staff, photographers, and the crowd;
- exposure changes between work lights, show lighting, and blackouts;
- whether the position still tells a coherent story when the viewer looks away from the stage.
Use a floor plan and label primary, backup, and prohibited positions. Then record a short rehearsal from the intended height. Review the result in the actual target format before locking the rig.

4. Treat Audio as Its Own Production
An immersive picture with weak, distorted, or drifting audio will not feel like a successful event recording.
Decide whether the master will use a board mix, audience microphones, ambisonic capture, or a combination. Record isolated feeds when the production allows it, document sample rates and timecode, and plan how the mix will translate to ordinary headphones as well as the target immersive system.
YouTube's spatial-audio requirements illustrate why this needs an explicit workflow: supported uploads require specific channel ordering, normalization, metadata, sample rates, and container choices. Your distribution platform may use different specifications.
Run a sync test before the audience enters. Include a clear visual and audible cue, review a longer take rather than only the first few seconds, and repeat the test after any recorder, clock, cable, or routing change.
5. Plan the Post-Production and Verification Path
Do not let the event become the first end-to-end test.
Build a short sample through the complete workflow:
- offload and checksum the camera and audio files;
- stitch or align the views as required by the format;
- correct the horizon, seams, exposure, and color without hiding capture problems;
- synchronize and mix the audio;
- add the metadata required by the destination;
- upload privately or as an unlisted test;
- watch the result on every supported device class;
- confirm captions, controls, comfort, and fallback playback.
YouTube's 360-video upload guide recommends stitching the source, matching the edit sequence to the VR footage, preparing the file for 360 playback, and confirming that the finished upload can be rotated. That verification step matters because a file can upload successfully without behaving as the team intended.
Keep the camera originals, project files, masters, rights documents, and publication history in a managed archive. A public upload should not be the only surviving copy.
6. Compare Livestream and Recorded Spatial Video Honestly
A livestream and a recorded immersive piece solve different problems.
A livestream adds real-time operations: connectivity, redundancy, encoding, moderation, incident response, and a recovery plan. A recorded production gives the team time to stitch, mix, review rights, correct defects, add accessibility support, and test devices before publication. Neither option guarantees reach, replay value, or revenue.
Score each option against the event's actual goal:

Do not build the budget around an assumed payout, audience size, price, or platform feature. Verify the current commercial terms in writing before the event.
A Practical Green-Light Checklist
The project is ready to shoot when the team can answer yes to each of these:
- The intended audience experience and technical format are written down.
- Recording and distribution rights are documented.
- Camera positions have passed safety, accessibility, and sightline reviews.
- The audio, sync, backup, and data-management plans have owners.
- A short end-to-end sample works on the target devices.
- The post-production schedule includes review and corrections.
- Distribution terms and takedown responsibilities are current and documented.
- No public copy promises a VPORT feature, catalog placement, price, payout, partnership, or launch date that has not been independently verified.
Spatial video for events works best when it is treated as a complete production, not a camera add-on. Define the experience, clear the rights, test the pipeline, and let the final format earn its place in the event plan.
